Linking graphics into Templated text

Step by step procedure

ISO CS require the graphics (Figures etc.) in separate files, and not inserted into the text (Word) document.  However, it is acceptable to link the graphics files so that Word displays them in the text.

For graphics, ISO primarily wants DWG format files. Their secondary preference is revisable EPS.  MS Word requires a native CAD program (viz. AutoCAD) to be on the same PC to be able to link DWG files, but can link EPS files without any other software. If you do not have AutoCAD on your PC (but please see Learning #015)  you can therefore link EPS files. This has the benefit that everyone can see the figures in the document.

Procedure to link graphic files to a Word document:

      1. Place the cursor where you wish the graphic to be inserted.
      2. Click "Insert" on the Command Toolbar.
      3. Select "Picture" from the dropdown menu.
      4. Select "From File" and click on it.  The "Insert
         Picture" window opens.
      5. Browse to the location of the graphic file.
      6. Click the graphic file to be linked.  Do not double-click the file.
      7. Place a checkmark in the "Link to File" box.  It is
         located below the "Advanced..." button.
      8. Option: Remove the checkmark in the "Save with document" box.
         This will provide an even smaller file, but the graphic file will need to
         be in the same folder on every PC opening this file or an error will
         occur.
      9. Option: Place a checkmark in the "Float over text" box. 
         This allows easier manipulation of the graphic on the page of text.
      10.Click the "Insert" button.  This links the graphic to
         the Word file without embedding the graphic in the Word file.
